Operational Governance PlatformPractical control for growing businesses
URDATA keeps your customers, jobs, quotations, sales, purchases, VAT information and accountant reports in one place. Less chasing. Fewer gaps. A clear record of what happened.

01 / WHY URDATA
Because losing track of the paperwork means losing sight of the business. An invoice sits in an inbox. A purchase is known to one person. The latest quotation is difficult to find. When the accountant needs the figures, somebody has to piece the story together again.
URDATA keeps that work together while it is happening. Owners can see where jobs and money stand. Office staff work from the same records. Accountants receive a complete digital period instead of a collection of folders and explanations.
02 / ALWAYS YOUR DATA
Your business records remain yours. URDATA gives them one home, puts them in order and shows how they are used from the first customer enquiry through to the accountant’s reports.
URDATA does not take ownership of your commercial records, documents or history.
If a subscription ends, the business keeps read-only access to view, search, report and export its records. New changes stop; the information does not disappear.
Your records remain identifiable and capable of export. Bringing the data together should give the business more control, not create another lock-in.
USEFUL TODAY. READY FOR TOMORROW.
Once the information is correct and properly organised, it can be used for reports and future AI-assisted services. An LLM can help analyse or explain the figures. It should not replace the business records.
With the subscriber’s permission, the same evidence could support a funding application or regular reporting to a lender. The financial institution makes the decision; URDATA helps the business present a clearer account of its trading position.
03 / DIGITAL RECORDS
VAT-registered businesses already have to keep digital records and use compatible software for their VAT returns. Making Tax Digital for Income Tax is also being introduced in stages for qualifying sole traders and landlords.
URDATA helps the business create complete, reviewable records of sales and purchases, ready for the accountant and the digital processes that support Making Tax Digital. With reliable information in one place, owners can understand where the business stands today and plan its next stage of growth with greater confidence.

Keep the contacts, site, agreed terms and working details together from the start.

Produce Sales and Purchases Excel workbooks that can be reviewed before they are loaded into accounting software.
05 / THE WORKING PRODUCT
These are working URDATA screens. The names, references and figures shown here are demonstration data.

Customer, site, purchase order lines, pricing and tax treatment stay on one controlled record.

The approved commercial position becomes a consistent quotation with its VAT treatment recorded.

The invoice, balance, credit position and payment history remain visible together.

Sales and purchase invoices can be reviewed before complete Excel workbooks are handed to the accountant.
06 / WHAT IT COVERS
A quotation affects the job. The job affects the invoice. Purchases affect the VAT position. URDATA keeps those records connected.
One place for customers, contacts, sites and the work connected to them.
A visible route from quotation and approval through to proforma and final invoice.
Supplier records, purchase invoices and payments linked to the wider business picture.
Controlled reporting periods, deliberate treatment of deferred items and complete Excel workbooks.
Checks, evidence and history show what needs attention and what has already been agreed.
URDATA provides the system. Your own name, logo and details appear on customer documents.
07 / WHY IT WAS BUILT

Gary has spent nearly 30 years working in telecoms and banking, much of it around billing, risk, business-critical systems and data governance. In smaller businesses, he saw capable owners working hard but losing time because customers, jobs, quotations, sales and purchases were spread across paper, email and spreadsheets.
The same issue came up in conversations with other business owners: they knew their trade, but it was becoming harder to see what was happening across the business. Accountant deadlines brought the problem into focus. Staff could spend days finding invoices, checking versions and explaining transactions that should already have formed one clear record.
The first working system brought that information together. Work that had taken days to assemble could be prepared in hours, with digital reports available to the owner, office staff and accountant. URDATA now takes what was learned from that work and makes it available as a product other businesses can configure and use.
